Description:
The Operations Manager will support the day-to-day compliant operations of SIT Study Abroad field offices in the areas of Human Resources, Finance, and Information Technology. This position reports to the Director of Administration and Operations and is part of a project-oriented team including five Academic Deans and their field-based staff, the International Human Resources Manager, Global Compliance Officer, and Budget Manager.
The Operations Manager will ensure effective and consistent implementation of SIT policies and procedures, emphasizing compliance with US and local legal and financial regulations, thus contributing to the successful delivery of programs.
This staff member serves as a liaison between World Learning's support departments (Human Resources, General Counsel, Finance, and Information Technology) Academic Deans, and other colleagues in SIT Study Abroad.
Key
Responsibilities:
1. Human Resources
? Maintain local staff census
? Create and manage repository of local employment contract templates
? With HR and local advisors, develop country-specific HR manuals
? Identify manager/skills training needs for regional staff, including Academic Directors and local hires at program sites
? Act as liaison with Academic Deans and World Learning HR/Legal regarding local staff employment matters
o Assist Academic Deans in determining proper staffing of program offices and fair and appropriate pay scales.
o Advise and support Academic Directors in recruiting and hiring local staff.
o Work with local accountants to set up local compliant payroll and correct employment contracts.
o Be liaison with HR in advising field-based Academic Directors on local staff disciplinary matters and in cases of possible termination of local staff.
o Collaborate with Budget Manager to incorporate local staffing in appropriate budgets
2. Field Operations
? Collaborate with Global Compliance Officer to ensure operational compliance with local legal and regulatory requirements, including submission of regular financial, tax, labor, other reporting and entity registration renewal in a timely manner
? Manage relationships with in-country accounting firms, as needed
? Work closely with Academic Directors, Director of Administration and Operations, and International HR Manager to ensure compliance with local labor regulations.
? Set up compliant payroll for new hires in the field and work on severance packages for terminations.
? Monitor and report any local payroll changes to appropriate support units
? Review student visas with an eye to compliant program operation, in collaboration with Admissions and others
3. Finance
? Be able to refer colleagues to appropriate, current World Learning financial policies and procedures including credit card use, disbursements, monthly reporting requirements, and end-of-term reporting;
? Develop training materials for above in consultation with Finance
? Use student enrollment updates to review with Academic Directors fluctuations in local staffing and group costs to maximize savings and ensure the appropriate level of support;
? Ensure proper reporting by the Academic Directors on current bank accounts and program vendors through preparation of New Vendor Requests, Bank Account Request / Change forms, and end-of-term Non-Field Budget Reporting Systems (FBRS) forms;
? Work closely with Budget Manager, Academic Deans, and Academic Directors on budgetary increase and decrease requirements related to program structural and academic changes, as necessary;
? Support the Academic Directors on mid-year budget changes by reviewing other lines for savings opportunities and preparing justifications;
4. Information Technology
? Help determine IT needs at program sites
? Assist in roll out of new technologies for program sites and field offices
? Work with IT co-workers to improve reporting systems between field and headquarters
? Connect colleagues with appropriate solutions
5. Other
Other duties as assigned including but not limited to planning and carrying out training, assistance with new program set-up, program shut-down, and other special projects.
Required
Experience:
o Minimum 3 years' experience in study abroad administration or related operation support units
o Demonstrated ability to work independently
o Demonstrated ability to prioritize and manage multiple tasks
o Proven ability to work cross-culturally
o Willingness to work collaboratively within a cross-functional team setting
o Command of the English language, both orally and written
o Proficiency in a language other than English
o International experience living or working abroad
o Analytical and problem resolution skills
Required Education:
o Master's degree in international education, international business or a related field preferred, or Bachelor's degree with equivalent experience related to international operations.

The check will bounce and the victim is left responsible.
